Recording and AI-Assisted Notes

How do you use recording and AI in sessions? All sessions are audio recorded into a secure Australian note-taking system designed for mental health care. This helps me create accurate written summaries after we meet and stay more present with you instead of typing or writing notes while you talk.

The system is hosted in Australia and built specifically for mental health practitioners here, and is designed to comply with Australian privacy and health-care standards. It uses secure AI language models to help turn spoken sessions into written summaries and notes. Personally identifiable information is withheld before any third-party AI services are involved, and your data is not used to train AI models; it is processed only to provide documentation and note-taking support. I am not able to work with you unless you consent to me using these tools, because they form part of how I keep clear, accurate records and stay present during sessions. Consent to this process is a required and non-negotiable part of working together.

What information is stored in this system? Intake forms, background information you provide, my own templates, and relevant psychometric assessment results may be uploaded or linked into this system before or during our work together. I use this information to support pre-session formulation, to understand your context before we meet, and to plan and document our work over time. These materials, together with your written summaries and progress notes, form part of your health record and are retained in line with legal, ethical, and professional record-keeping requirements.

Templates that reflect my therapeutic lens. I have specifically designed templates within this system so that any AI-assisted text reflects my own practice rather than generic wording. These templates are designed to align with my trauma-informed, sex-positive, non-pathologising, and non-judgemental therapeutic lens. I review and edit all written outputs myself, and these tools never replace my professional judgment or our shared work together.

What about AI bias or “hallucinations”? Like all AI tools, the systems I use can sometimes reflect bias or suggest things that are not accurate, incomplete, or relevant. I do not treat AI output as fact, and I never rely on it to make decisions about your care. I use it only as a drafting and reflection tool, and I carefully review, edit, and filter anything it produces so that it fits with my trauma-informed, sex-positive, non-pathologising, non-judgemental therapeutic lens.

What happens to recordings and transcripts? Session audio is used to create a written transcript and summary and is not kept as a permanent part of your file. Written transcripts and AI-assisted conversations may be kept for a short period so that notes can be completed and refined, and are then deleted in line with my retention and deletion processes, which are implemented using this secure, Australian-hosted system. Your final written summaries and records are kept as part of your health record in line with legal and professional requirements.

While I am happy to explain the process and answer questions, I am not able to offer therapy without your consent to this recording and documentation process, as it is a required and non-negotiable part of working together.
